Why Developing a Visitor Management Strategy is Important

Posted

Putting together a clear, security focused visitor management strategy is important for every business that regularly expects visitors and/or keep extremely sensitive data on-site. Also the number of workplace violence incidents over the

last couple years, has made it extremely important to know who all is in the workplace/on the premises at any given time.

In a previous blog post we explained how new ID card visitor management systems have made it possible for businesses to manage visitors with a kiosk in the lobby acting as your entire visitor management system, getting rid of the need for someone to manage the front desk/lobby.

However, if those systems are out of your price range, or if you already have someone working the front desk to receive shipments and take care of other front desk and lobby duties, designing your own visitor management strategy is important!

Visitor management can be broken down into easy to follow security steps that anyone managing the front desk should be able to easily understand and carry out.

Your visitor management strategy should clearly explain how to check-in visitors, how to track them once they are on the premises, and how to check-out and make sure a visitor leaves the premises.

A complete visitor management strategy should also include steps for what to do if there is a problem with a visitor (i.e. they’re being disruptive, they suddenly fall ill, etc.) and what to do with visitors if there is a problem on the premises (i.e. a fire, or some other workplace catastrophe).

Addressing these “what ifs” before they take place will absolutely streamline your emergency response strategies, and could potentially prevent bad situations from getting worse.

Lobby Management
Maintaining and managing the lobby and the front desk of a business is incredibly important when it comes to visitor management. Having an orderly lobby and front desk will allow you to better focus on new arrivals as well as assist visitors with adhering to your visitor management strategy.

Not only is important to maintain order and cleanliness in the front-of-house operations, it’s also important that you make sure you are keeping close track of who enters and leaves the building. When someone enters, if they do not have an employee ID badge, it’s important to greet them, ask their name, and ascertain why they are there.

When choosing the right overall ID system to go with, make sure that you are picking a option capable of producing the visitor management solutions you desire. For more information on ID card systems and solutions or to talk with one of our experts contact Evergreen ID Systems today!
